Portfolio Descriptions
Internal/Structural Communication Portfolio – The Internal/Structural Communication Portfolio holder(s) will be responsible for ensuring that communication within the collective and between the collective and the Women’s Studies department rums smoothly. Their specific duties will include:
- Schedule/Call meetings
- Schedule office hours
- Be the Coordinating Collective contact person for the WSUA
- Send and answer WSUA e-mails
- Book space for WSUA meetings
External Communications Portfolio – the External Communications Portfolio holder(s) will be responsible for networking and liaising with other pertinent groups on campus such as other departmental associations, the Women’s Centre Collective, and the Collective Body for Art Students. Their specific duties will include:
- Liaising with other student groups
- Coordinating meetings if necessary with outside groups, organizations
- Representing the WSUA at Council of Departmental Associations meetings by the Collective Body for Arts Students
- Being knowledgeable about other organizations on campus that interest our members
Website/Publications Portfolio – The Website/Publications Portfolio holder(s) will be responsible for producing publicity materials and the dissemination thereof for the WSUA. Their specific duties will include:
- Maintenance of the WSUA website
- Production of posters, advertisements and any other publicity materials
- Production of a WSUA newsletter; calling for submissions, editing, and design thereof
Social Events Portfolio – The Social Events Portfolio holder(s) will be responsible for planning our social events. They wil be responsible for ensuring that our events are accessible to all members and adhere to the spirit of the WSUA. Their specific duties will include:
- Forming and facilitating planning committess
- Booking space for WSUA events
- Pursuing group rates, discounts
- Organizing volunteers and generally ensuring the accessibility of all our events in terms of cost, child care, location, physical accessibility
- Coordinating sports teams (Dallas Ballkickers)
Current Events/Social Issues Portfolio – Current Events/Social Issues portfolio holder(s) will be responsible for keeping abreast of current events of social issues on campus and beyond that the WSUA and its membership may wish to participate in or undertake social action around. Their specific duties will include:
- Disseminating information on current issues that might be of concern to the broader WST community
- Being knowledgeable about events on campus that may interest our members
- Researching current issues identified by the Coordinating Collective or general WSUA membership as ones we wish to interrogate
- Maintaining institutional knowledge about historical, current, or ongoing issues of interest to the WSUA
- Identifying regularly occurring day of commemoration or action that the WSUA should do something on, coordinating and facilitating a committee to plan appropriate events/displays/activities
Anarchivist Portfolio – The Anarchivist Portfolio holder(s) will be responsible for documenting what the WSUA does each year. They will also have the task of researching the history of women’s organizations/associations at the University of Alberta and documenting that history; by combining this knowledge with maintaining our current history by recording WSUA activities, they ensure that we stay true/respectful to our history as we forge into the future. Their specific duties will include:
- Collecting minutes from minute takers and filing meeting minutes and other pertinent WSUA documents
- Compiling a timeline of activities for each scholl year
- Keeping track of events (how many came, how much food or other materials were required, time/date of activity etc.)
- Responsible for sign-in sheets at events, meetings, or guest book at evening events
- Completing SU applications including pre-registerin the WSUA with the Student’s Union, and filing paperwork to renew WSUA e-mail and webspace at the end of each academic school year
- Booking tables for SU club fairs
Financial Coordinator Portfolio – The Financial Coordinator Portfolio holder(s) will be responsible for tracking all funds for the WSUA. Their specific duties will include:
- Maintaining Signing Authority on the WSUA bank account and arranging for two other Coordinating Collective members to have signing authority
- Arranging a yearly review of the WSUA’s financial situation by an outside party
- Providing information on any audits to the WSUA
- Facilitating the completion of applications for grants and/or other official funds
- Drafting a budget for the upcoming school year based on the previous year’s information
- Assisting the President in acquiring sponsorships and donations. As well, the VP finance will have signing authority on cheques and access to group funds **
- Producing a year end statement to be presented at the General Meeting
- Updating the Coordinating Collective regularly on the WSUA’s financial situation
Library Portfolio – The Library Portfolio holder(s) will be responsible for maintenance of the Winnie Thom Reading Room library. Their specific duties will include:
- Organizing and Soliciting new requisitions
- Liaising with other on-campus informal libraries
- Administer borrowing from the library
- Physical maintenance of the library including cataloguing and organization
